Preparing for peak season: Strategies for managing high volume fulfillment
8:45

Ah Christmas. A festive and formidable season for retailers and eCommerce companies (which is why we’re writing this in August. AUGUST! We’ve not even gotten our winter coats out of storage yet!). While the smell of cinnamon and mulled wine is enticing, it’s not all joy to the world for many businesses during the Christmas period. This peak season can either make or break you - and unfortunately, the big man ain’t on his way to help.

But it’s certainly not all doom and gloom. Similar to Santa, you have the entire year to prepare for this period. Navigating the lead-up to Christmas and the aftermath of the New Year sales takes forward-thinking, strategic planning, and optimal operations. Let’s explore some of these critical strategies for managing high-volume fulfillment during peak seasons (not just Christmas!), including our very own insights and client case studies.

What’s the big ideer? Scalable infrastructure

During peak season, having a scalable fulfillment infrastructure is crucial. You should ensure that your warehouses, technology, and workforce can handle increased order volumes efficiently.

Having an effective warehouse layout all year round is essential, but when it comes to Christmas, and other peak periods, you might need to switch things up a little to cater for larger stock amounts, higher staff numbers, and a tighter picking and packing schedule. Similarly with tech, it’s important to ensure your warehouse or 3PL provider has the best and most efficient automation in place. During peak season, automation is the reindeer to your sleigh, the elf to your shelf, the mince to your… well, you get the point. Automated systems ensure repetitive, mundane tasks are handled by robots and intelligent tech, leaving your team to focus on the important stuff.

Having the option to scale your infrastructure when the snow hits the ground is essential - but with a 3PL provider who offers scalable infrastructure by design (hint - it’s us), you can continuously access unlimited resources and capacity, not just during peak periods. This means rapid implementation via our sprint methodology. Translation? You’ll be giving Santa a run for his money on Christmas Eve.

In the nick of time: Robust logistics and delivery solutions

Reliable logistics and delivery solutions are essential for maintaining customer satisfaction during peak seasons. Partnering with trusted couriers and offering multiple delivery options can enhance the delivery experience.

But one of the critical challenges during peak season is ensuring that all orders are delivered on time, despite the surge in volume. Leaving customers disappointed during the rest of the year is bad enough, but when certain dates creep up, consumers start to feel the pressure of the season (just like retailers).

“Forecasting and planning is essential to achieve the best possible customer experience during peak times. However, unexpected spikes in demand often occur at the most unlikely times. It’s so important for our customers to be able to rely on us for our multiple carrier options and scalable network to ensure all eventualities are catered for.“During the peak period, visibility and communication (both speed and accuracy) set us apart from the competition. Our in-app notifications ensure timely updates throughout the trading period and can be tailored to suit our customers' needs.”
Paul Taylor, Chief Operating Officer

Our fulfillment platform addresses this challenge head-on. By leveraging a sophisticated network of reliable carriers, real-time tracking, and contingency planning, we ensure that your deliveries arrive in time for the big day. This solution not only means that orders reach customers as promised but also provides them with full transparency through real-time updates, reducing the risk of late deliveries and enhancing customer satisfaction. The power is essentially in the consumer’s hand, allowing them to directly interact with the courier. This limits the frustration of back-and-forth conversations between 3PL providers, couriers, and customers. It’s basically like having a direct line to Santa’s sleigh.

Stocking point: Optimised inventory management

When peak season comes around, there’s really no time to waste, so ensuring you have accurate forecasting and meticulous planning in place is paramount. From understanding customer buying patterns to historical sales data to market trends, you need a solid team of elves who can anticipate demand surges (as well as build a kick-ass Etch A Sketch).

One of the most powerful tools at our clients’ disposal is fulfilmentcrowd's Foresights analytics tool, which leverages big data to provide precise inventory forecasting. This tool taps into vast amounts of big data, which includes transactional data from your eCommerce platform, historical sales trends, and real-time reactive trends based on actual sales performance. During peak periods, such as Christmas, this data becomes even more valuable, as the magnified demand requires accurate predictions to avoid stockouts or overstocking. By analyzing and correlating actual demand against forecasted figures, Foresights helps businesses maintain optimal inventory levels, ensuring they can meet customer demand without tying up capital in excess stock. We hear Father Christmas follows this same strategy.

Our Foresights tool requires just four weeks of data, which includes both order levels and inventory levels, to begin making highly accurate predictions. This short lead time allows you to quickly adapt your inventory strategy, before peak season even begins. By correlating predicted data with real-time sales trends, the tool can forecast inventory needs with over 90% accuracy. This level of precision is critical during peak periods (not to mention the remainder of the year), where the cost of misjudging demand can be particularly high.

Similarly, when it comes to warehouse operations, big data, and the right tech is essential for effectively managing this. We, alongside our warehouse partner network, harness data from various sources, including historical order volumes, employee performance metrics, and real-time operational data, to identify patterns and inefficiencies. This data-driven approach allows you to make informed decisions about resource allocation, such as determining the optimal number of elves, sorry, we mean team members, required at different times of the day or week.

For example, by analyzing data on peak order times, we can recommend the most efficient shift patterns to ensure that warehouses are adequately staffed when order volumes are highest. This predictive analysis helps in avoiding bottlenecks, ensuring that orders are picked, packed, and dispatched in a timely manner, even when demand spikes.

Technology is another critical factor in enhancing warehouse operations. This includes automated picking systems, smart shelving, and real-time inventory tracking, to streamline workflows. These technologies reduce the time spent on manual tasks, increase accuracy, and allow for faster order processing. How else do you think Santa gets it all done in one night?

The Wrap-Up

As the festive season jingles ever closer, ensuring your fulfillment operations are as smooth as Santa's sleigh ride is no small feat. But with the right strategies, you can turn the peak season rush into a winter wonderland of opportunity. From accurate forecasting with fulfilmentcrowd’s Foresights analytics tool to scalable infrastructure, your business can meet the seasonal surge with confidence.

Big data and advanced technology should do a lot of the heavy lifting for you, working tirelessly behind the scenes. Not only do they help optimize inventory management - predicting demand with over 90% accuracy - but they also streamline warehouse operations with data-driven productivity measures and smart shift patterns.

Although we’re still in the throngs of summer, now is the time to begin collecting data, revisiting inventory levels from last year, and optimizing your operations for the season ahead. As you prepare to stuff your customers' stockings, remember: with careful planning, scalable solutions, and a sprinkle of festive spirit, you can truly turn peak season into the season of joy.
